How It Works

A simple, fully online process for Spanish sworn translation and official document preparation

Getting your documents translated and prepared for use in Spain is straightforward with Spanish Sworn Translators UK. Everything is handled online — no appointments, no complicated steps, and no need to post originals. Here is exactly what happens from the moment you get in touch to the moment your documents are ready for submission.

Our Process

1

Step 1 — Upload Your Document

Getting started takes minutes. Simply upload a clear photo or scan of your document through our secure online system. There is no need to post originals, attend an appointment, or fill in complicated forms.

A clear, legible image is all we need to begin. If your document is unclear, damaged, or difficult to read in any part, we will contact you before proceeding — we do not push through translations where there is any uncertainty about the source document.

Once we receive your document we will confirm receipt, review the page count and document type, and confirm your turnaround time before work begins.

What we need from you: a clear photo or scan of your document, uploaded through our website.

2

Step 2 — Translation by an Authorised Sworn Translator

Your document is assigned to a sworn translator (traductor jurado) officially authorised by the Spanish Ministry of Foreign Affairs (Ministerio de Asuntos Exteriores) — the standard required for legal recognition by Spanish consulates, courts, civil registries, and official institutions.

All translations are overseen by Ana Martínez, Lead Translator, who has 20 years of experience in Spanish sworn translation and interpretation. Ana works closely with the team on formatting, certification requirements, and anything complex or specialist — ensuring every translation meets the standard expected by Spanish authorities.

We do not use automated translation tools. Every document is translated by a qualified professional, with particular attention to the terminology, formatting, and certification wording that Spanish authorities check most closely.

Turnaround: most standard single-page documents are completed within 2 working days. Longer or more complex documents typically take 2 to 5 working days depending on page count and complexity. If you have a deadline, let us know when you upload and we will do everything we can to accommodate it.

Pricing: every sworn translation is £49 per page — fixed, with no hidden costs and no need to request a quote.

Step 3 — Optional Services: Apostille and Physical Copies

Depending on your specific requirements, you may also need one or both of the following alongside your sworn translation:

UK Hague Apostille Some processes in Spain — particularly civil registration, inheritance proceedings, and certain visa applications — require the original document to be legalised with a UK Hague Apostille before or alongside the sworn translation. We provide an in-house apostille service with direct counter access in Milton Keynes, which means we can handle both the apostille and the translation together without you needing to deal with a separate provider.

If you are unsure whether an apostille is required for your specific situation, get in touch before ordering and we will help you work it out.

Physical Wet-Ink Copies All sworn translations are delivered digitally by email as standard — a signed, stamped PDF that can be printed and submitted directly. Where a physical copy with the translator’s original wet-ink signature and stamp is required — for example for submission to certain Spanish consulates or notaries — we can arrange this and deliver it via tracked courier to UK and international addresses.

Step 4 — Receive Your Completed Translation

Your completed sworn translation is delivered to you by email as a signed, stamped PDF, ready for submission to Spanish authorities, consulates, civil registries, notaries, or institutions. In most cases this is all you need — print it, attach it to your application, and submit.

If you have ordered physical copies, these are sent via tracked courier and you will receive tracking details as soon as they are dispatched.

What you receive:

What Happens If There Is an Issue?

We prepare every translation to the standard required by Spanish authorities — but if for any reason your translation is rejected specifically on the basis of its sworn status or certification, we will resolve it or refund you in full in line with our money-back guarantee.

If you have any questions or concerns at any point in the process — before, during, or after your order — get in touch at info@spanishsworntranslators.co.uk and we will respond within one hour during working hours.
